The Law Firm
Commonwealth Evaluators is a Croydon-based law firm, specialising in immigration, which has operated since mid-2014.
After 6 months as a new business, the practice chose Insight Legal Software to provide its 5 system users with a cloud-stored practice management and legal accounts package, complete with on-call technical assistance.
When Commonwealth Evaluators first opened, its employees utilised Microsoft’s Access and Excel applications, for database and spreadsheet capabilities respectively, as a means of managing contacts, matters and accounts.
Tara Robinson, Practice Manager at Commonwealth Evaluators, explains: “To begin with, we coped with just the Microsoft Office suite but it was a long-winded and inefficient way of doing things.
“As a paralegal with experience in other law firms, I was familiar with the high-tech management systems available from legal software suppliers. I was also fully aware of their equally high price tags!
“While larger practices may have big budgets for such expenditure, as a much smaller business, we don’t. Therefore, we set out to find software similar functionally but different price-wise.”
With cost a major factor, Tara began keenly scanning the marketplace.
Tara adds: “I performed all the necessary research by surfing the web, reading software guides and seeking recommendations from other firms. Although we had limited budget, we weren’t willing to compromise on quality. After all, we still have the same requirements as everyone else, namely safely managing our important legal cases.
“This is why we chose Insight. It has just as many features but has saved us £thousands because we pay monthly and didn’t have to make a large upfront investment for licences, implementation, training and project management which is the way other providers tend to charge.
“Plus, we’re saving £50k per annum which would normally have to be spent on an IT technician. It’s fully supported by the Insight Legal team so we don’t need to employ in-house expertise either. That’s even less strain on our overheads.
“As an ambitious law firm with an eye on expansion, we needed a system that would grow as we grow. The hosted format and ability to add user licences as and when required allow this to happen.”
Having used the Insight system for a period of 12 months, Tara is confident in her acclamation: “Insight is a rounded package – bundles of features, brilliant front-end reports and hands-on support.
“Being cloud based, updates are automatic, training can be done remotely and the system can be accessed anywhere. In terms of advantages, this means we don’t need to do any maintenance ourselves, there’s no intrusion into our daily work when the software’s updated, we can receive training when it’s most convenient without having to leave the office for much lower cost and we can work when we like, where we like.
“Our fee earners and managers, me included, often work out of hours. It’s not unusual to see us logging on from home at 3 or 4 o’clock in the morning. At these times, it’s a relief to know that all the information and files we need are right there via a straightforward web connection.
“As I have a management role, reports are hugely important. Whatever data I want to analyse, I can, within seconds, in real time.
“I couldn’t endorse Insight more strongly particularly when I think back to the struggles of our early Microsoft Office days. Quite simply, my ship would sink without Insight!”
